IMPORTANT changes to Reimbursement Requests

As we move into the new 4-H year there is an important change that you should be aware of involving reimbursement requests for COUNTY purchases.

As of October 1, 2017 Reimbursements will be issued on a monthly basis as the checks will be signed and authorized at the monthly management board meetings. This will require project leaders, volunteers and others submitting reimbursements to plan purchases in advance and be prepared to wait for reimbursement.

The management board meetings will occur on the 1st Tuesday of the month at 6:30 pm. Therefore it is recommdended practice that reimbursements be sent to the Extension Office by the 1st of each month.

The following is an example process to follow:

  • Make purchase within the approved budget  - KEEP RECEIPTS
  • Get a copy of the reimbursement form and fill it out - SUBMIT TO EXTENSION OFFICE BY THE 1st OF THE MONTH 
  • Reimbursements will be reviewed and approved at the Management Board meeting by the County Youth and Adult Treasurer - 1st TUESDAY OF THE MONTH
  • Checks will be mailed out by the Extension Office - WITHIN ONE WEEK OF APPROVAL
