Guide for enhancing your presentations.

This guide introduces techniques you can use to enhance your presentations. It is intended for people who already know the basics of PowerPoint. In this guide, you will learn how to:

  1. Work with slide masters
  2. Add a footer
  3. Customize a template
  4. Slide show techniques
  5. Add transitions to a slide show
  6. Adding animation
  7. Adding sound and video clips

Working with the Slide Master

There are two masters for every presentation - a slide master and a title master. The slide master controls the formatting on all slides. If you apply a new design template, modify the color or size of slide titles, or change the background color on the slide master, all slides reflect the change. If you add a graphic to the slide master, it appears on every slide. Likewise, if you modify the layout of the title master, the slides you've designated as title slides also change.

Edit the slide master of a presentation to change the font and add an image to the background:

  1. Load the Microsoft PowerPoint program
  2. Click on Open an Existing Presentation
  3. Open the file on disk called www.ppt
  4. Take a moment to scroll through the presentation
  5. On the View menu, click Master. Select Slide Master
  6. Your screen should look like this:

  7. Click in the Master Title Area
  8. On the Format menu, click Font
  9. Select Arial, Bold, Shadow and click OK
  10. On the Insert menu, click picture\Clip Art
  11. Select an image and click Insert
  12. Drag the picture to the lower left-hand corner of the slide
  13. On the View menu, click slide. Scroll through the presentation again to view changes.

If a slide master object interferes with text or images on your slides, you can omit the slide master background on a particular slide. On the format menu, click Background. Select the option omit background graphics from master.

Add a footer and slide number

  1. In the slide view (not on the slide master), click the View menu. Select header and footer.
  2. De-select the date and time
  3. Select Slide Number
  4. Select Footer and type University of Minnesota Extension Service in the box
  5. Select the option: Don’t show on title slide
  6. Click Apply to All and scroll to view your changes

You can make changes to the formatting of the footer and slide number on the Slide Master.

Customizing a template

  1. On the Format menu, click Apply design
  2. Select the tropical.pot template. If it is not in the listing, a copy of it is on the disk.

    Our goal here is to move the sunset from the bottom middle to the bottom left on the slides.

  3. On the View menu, click Master\Slide Master
  4. Right-click on the sunset. This selects background items which are grouped together.
  5. Click on Grouping. Click Ungroup
  6. Click in the gray area outside of your slide to de-select the groups
  7. Click on the sun. Press Shift and right-click on the sun reflection. Both items should be selected.
  8. Click on Grouping. Click Group
  9. Move the sunset to the lower left-corner
  10. Right-click on the palm tree. Select Order. Click Bring to front
  11. View your changes in slide view. (View\Slide). Your slide show design should look like this:

Slide Show Techniques

When you give a slide show, the content should be center stage. Use animations and transitions to emphasize your points, not distract from them. You might design your slides so that your points fly in from left. Then to emphasize a particular point, try bringing it in from the right. The change will grab the audience's attention and reinforce your point.

The same principle works with sound. An occasional burst of music or sound during a transition or animation will focus the audience on the slide show. However, frequent use of sound effects can be distracting.

Adding Transitions

  1. On the View menu, click Slide Sorter
  2. On the Edit menu, click Select All
  3. On the Slide show menu, click Slide transition
  4. Scroll through the Effects drop-down box, and select one you like. Change the speed if you want.
  5. Click Apply to all
  6. View your slide show. Click in the slide show button in the lower left-hand corner.
  7. Left-click to advance through the slides. Press ESC to return.

Adding Animations

  1. You should still be in the Slide Sorter view
  2. On the Edit menu, click Select All
  3. On the Slide show menu, click Preset animation and select one of the options
  4. View your slide show

Customize a slide animation

  1. In the slide sorter, double-click on slide number 2
  2. On the Slide Show menu, click Custom Animation, and then click the Timing tab
  3. Under Animation Order, select text 2
  4. Click the Effects tab
  5. Under Entry animation and sound, select crawl from bottom and drum roll. Click OK
  6. View your slide show

Animate an object

  1. In Slide view (View\Slide), go to slide number 9
  2. On the Slide Show menu, click Custom Animation, and then click the Timing tab
  3. Press Shift and click on Group 3, Group 4 and Group 5
  4. Under the Effects tab, select Spiral
  5. Click OK and view your slide show

Animate a chart
  1. In Slide view (View\Slide), go to slide number 4
  2. Right-click on the chart and choose custom animation
  3. In the Chart Effects tab, click introduce chart elements by category
  4. Change the entry animation to wipe up
  5. Change the sound to whoosh
  6. Click OK and view your slide show

Adding Sound and Video Clips

If you can't find a picture, music, sound, video clip, or animation in PowerPoint, here are some other places you can look for more clips: Windows Media folder – Point to Movies and Sounds on the Insert menu, and then click Sound from File. Locate and open the Media folder (in Windows folder), and select the sound you want. Clip Gallery Live – Click Insert Clip Art to open Clip Gallery, and then click the Connect to Web for additional clips button.

PowerPoint Central – Click PowerPoint Central on the Tools menu. From the presentation, you can jump to Internet sites or to the Office 97 ValuPack on the CD-ROM for clip art, videos, sound clips, graphic effects, templates, and presentation tips.

Sound

  1. Go to slide number 1
  2. On the Insert menu, click Movies and Sounds and choose Sound from File
  3. Choose a sound clip from the disk and click OK
  4. An object is inserted onto your slide:

    Sound Clip

  5. Move the object to a corner
  6. View your slide show. Click on the sound object to play the sound clip.

Video\Movie Clips

  1. Go to slide number 10
  2. On the Insert menu, click Movies and Sounds and choose Movie from File
  3. Choose blowup.avi from the disk and click OK
  4. Move the image to the lower right corner
  5. Right-click the image, choose custom animation
  6. Click the Effects tab and change the animation and sound to Appear and Explosion
  7. Click OK and view your slide show. Click on the picture to play the movie clip.
